What You Will Do…
As the Payroll Supervisor you are responsible for the supervision and coordination of the payroll functions for the organization, ensuring accurate and timely reporting of hours worked, compliance with state, federal, and union regulations This role requires a detail-oriented and organized individual with a strong understanding of payroll processes and the ability to handle confidential information responsibly.
Location: This is an in-person position based out of Santa Rosa, CA.
Shift: Primarily work 8–10 hours per day, 5 days per week. Nights/weekends as needed (up to 10%).

Minimum Qualifications:
Minimum of 5 years of experience in payroll.
Proficiency in payroll software and Microsoft Office Suite (especially Excel).
Strong knowledge of federal, state, and local payroll regulations, particularly California labor laws.
Excellent analytical and problem-solving skills.
Exceptional attention to detail and organizational skills.
Ability to handle sensitive and confidential information with discretion.
Strong communication and interpersonal skills.
Preferred Qualifications:
Certification from the American Payroll Association (APA) is preferred.
Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.

Key Responsibilities
Payroll Processing: Responsible for time reporting for all employees to the Region payroll department and ensuring timely distribution of paychecks.
Compliance: Ensure payroll operations comply with federal, state, and local regulations, including tax laws and labor codes specific to California. Stay updated on regulatory changes. Forward any garnishment or tax notices to the Region payroll department.
Records Management: Maintain accurate payroll records, including employee information and timecards.
Reporting: Generate regular payroll reports for management and finance departments. Provide insights into payroll expenditures and trends.
Audit and Reconciliation: Conduct internal audits to validate payroll accuracy and integrity. Reconcile union payroll-related accounts.
Employee Support: Address payroll-related inquiries from employees promptly and professionally. Provide support for payroll system issues.
System Management: Maintain and update payroll systems and software relating to new hires, changes, and terminations.
Training and Development: Train and mentor payroll staff on procedures and compliance. Foster a team-oriented environment.
Certified Payroll: Report certified payroll weekly to project contractors and municipal agencies while meeting federal and state requirements for government funded projects.
Union contracts: Review union contracts and update payroll systems with any certified payroll contract changes. Notify the Region Payroll Department of any wage or deduction changes. Send monthly reports to the union trust funds. Prepare check requests for AP to make union related payments.
Work Environment
The Payroll Supervisor will work in an office environment, with occasional travel for training and conferences. The position may require overtime during peak payroll periods.
